The users area is where one can see which users are set up in OpenProcess, the groups they're associated with and provides the means to disable them from access altogether.
The following illustrates the users screen:
One can see that in the above there are two mechanisms for adding a user.
This options should be tried first.
Basically, if a user has been created previously in the same environment i.e. test / live for a different application inside the IEG4 family of applications, their existing user log on/password information can be linked up to OpenProcess and thus prevent duplicate users and consistent security protocols.
This should be tried first because if they already exist it takes seconds to add them and then add the permission group(s) to them and complete the process.
When you click to find an existing user you will be asked to provide their email address. If their email address does not exist it will prompt with ‘Not found’ as shown below:
Where the user does exist, one will be able to click the ‘Allow Access’ button and assign the user with any relevant permission groups. It ensures that users have a secure single sign on for all applications.
The other method for adding a user is where you know where they haven’t previously existed in another application.
This option should be used when you are adding someone that has never had a user account with IEG4 software. I.e. the user has never accessed the v2 forms Portal, Reporting, OneVu Customer Services.
I.e. someone like a new starter

The user will be sent an email to enable them to complete the creation of their user account:
The person creating the user should create a temporary password for the officer and your guidance should advise them to use the 'Forgot password' function to set it to something only they know:
This functionality ensures officers can reset their passwords securely. Once they've clicked the Forgot password link in the previous screenshot they'll be asked to provide their email address to have a reset link sent to them:
The user is sent an email with a subject of:
"Open Process - Reset your password"
And the following body:
Once they click on the link they're provided with the following screen:
Note that any existing validation rules for password size etc. will be enforced here too:
If someone should have their access disabled it's as simple as clicking the following button:
When access has been removed, it flips to show the following:
"To complete the registration process please confirm your account by clicking on the following link. "
"Thank you for requesting a password reset. to reset your account."
