There is a function that will allow authorised users to be able to abandon in-progress processes. This is to cater for scenarios where a process will not continue any further and therefore any existing or follow-on steps in the process do not need to be completed.
OpenProcess Setup – Group Permissions
Two new permissions are available so you can control which groups of users are able to:
1. Abandon Process (who can abandon in-progress processes)
2. Abandon Process Administrator (who can create the Abandon Reasons)
OpenProcess Setup – Abandon Reasons
There is an area to set up reasons for abandoning a process:
Abandon Reasons
Click on the Add button to add any new reasons.
OpenProcess Setup – recording which processes can be abandoned
Once the Abandon Reasons have been set up you can then record which processes can be abandoned.
There is a field on the Process details where you can choose which group can abandon the process. It’s a drop-down “Abandonable by group” field. One process can have one Group specified as the group of users that can abandon this process when it’s in-progress:
NB you must ensure that the permission has been set against the Group you select that will allow the group users to abandon the process.
OpenProcess– Abandoning a process
To abandon an in-progress process you must use the Search Processes screen. You will then search for in-progress processes using the filter options:
Click on the ‘Find Processes’ button and the process(es) will be listed:
To abandon the process click to drill down:
Click on the Abandon tab and then select the reason:
Click on the “Abandon Process” button and you will then get a confirmation message asking “Are you sure you want to abandon this process?”:
Once abandoned the process cannot be continued. If it has been done by mistake then the user will need to manually start the process all over again.
Click “Yes – Abandon” to abandon the process, or “Cancel”.
When Abandoned the process will no longer appear on the My Tasks or Supervise Tasks screens and it will also not appear to the citizen on the Track My Requests page in OneVu.
