Having made your decision to issue the pass/card, sharing required information with the Organisation responsible for printing the Pass, is not currently possible through the use of API's. However, the following information is still required for re-keying into the current application system.

In London, the Organisation 'London Councils' is responsible for printing and distributing Freedom Passes and Taxi Cards, and is currently looking at allowing API access to it's system, but it is currently not an option. We do, however, capture ALL the information that London Councils will require when the API is available.

The following screen shows the information that is needed for London Councils Freedom Pass:

The following screen shows the information that is needed for London Councils Taxi Card:

Entitlement: This is a London Councils defined field and is used within to determine the reason for issue. There is a drop-down selection menu for you to chose from:

Photograph: This is a London Councils required field and is used as the picture to be printed on the badge - London Councils cannot print the badge without it. As this is a mandatory field, you need to click on 'Select document'. When selected, the screen will only show those documents that have been tagged as 'Photograph'. Thus the importance of tagging documents correctly:

Pass/Card Order Date: This is a London Councils required field and is used as the start date to be printed on the pass. This is currently set to be one day after the current date. This field is editable by you and can be set in the future. For instance, if you are making a renewal, the current pass may not end for another month, thus the start date can be altered to reflect that.

Pass/Card Expiry Date: This is a London Councils required field and is used as the end date to be printed on the pass. This is initially set to be three years after the start date. If you edit the Pass Order Date, then this field may be edited as well to reflect the mandatory five years. As this field is editable by you it can be set in the future. However, there is validation on this field as under the current legislation, the Expiry Date cannot be greater than five years after the Start Date.

Applicant ID: This is not a mandatory field for London Councils, but is a London Councils defined field and is used as the pass/card reference which is recognised by your Authority and London Councils if any communication is needed with the Customer.

There are other fields that are mandatory for London Councils to enable them to print the pass, such as; address and date of birth. These fields are set automatically from the workflow process.
